Job description
Aspect is a multidisciplined team (SMP E&I) with a strong track record of project delivery including design, construction, commissioning and operational support. Aspect provides services to a wide range of industries both nationally and internationally.
Reporting directly to senior leadership, the Executive Assistant will play a key role in managing schedules, holding accountability, coordinating meetings, supporting business operations, and ensuring priorities are effectively managed.
Key Responsibilities:
Provide exclusive comprehensive administrative and personal support to senior management.
Block out interruptions & manage their calendars, appointments, and meeting schedules.
Coordinate their travel arrangements, accommodation, and itineraries.
Prepare correspondence, reports, presentations, notes and meeting minutes.
Assist with document preparation, formatting, and document control activities.
Screen and manage emails, phone calls, and stakeholder communications.
Coordinate their internal meetings, workshops, and company events.
Maintain accurate records, filing systems, and confidential information.
Assist with project administration and business improvement initiatives.
Liaise with clients, suppliers, and stakeholders in a professional manner.
Assist general office administration duties to support the wider team.
Essential:
Previous experience as a Personal Assistant, Executive Assistant, Office Manager, or similar administrative role. Exceptional organisational and time-management skills.
Strong written and verbal communication skills & high attention to detail and accuracy.
Ability to prioritise competing tasks and meet deadlines & Ability to handle sensitive and confidential information with discretion.
Professional presentation and a customer-service-focused approach.
Advanced Microsoft Office skills, including Outlook, Word, Excel, and PowerPoint.
A proactive attitude with the ability to anticipate needs and solve problems independently.
